2. Two different roles
Petuica as controller: for the data of people who sign up and use the app (salon owners and staff) and of anyone who contacts us.
Petuica as processor: for the data each salon keeps about its own customers and pets, and for online bookings. The salon is the controller of that data; Petuica only processes it on the salon’s instructions to provide the service and never uses it for anything else. If you are a salon’s customer, please contact that salon first to exercise your rights.
3. What data we process
Salon and staff accounts: name, email, phone, password (stored hashed, never in plain text), business name and tax details, opening hours and settings.
Sign in with Google: if you choose “Continue with Google”, Google sends us your name, your verified email address and an account identifier. We do not access your Gmail, contacts, calendar or any other data in your Google account.
Salon customers and pets (as processor): name, phone, email, appointment history, pet details (breed, weight, coat type, handling notes) and receipts or invoices.
Payments: card deposits and payments are processed by Stripe. Petuica never sees or stores card numbers; it only receives the payment status and amount.
Technical data: IP address, date and time of access and security logs (for example, failed sign-in attempts).
4. Why we use it and on what legal basis
To provide the service: creating and maintaining accounts, managing the diary, bookings, reminders and invoicing (performance of a contract).
To send appointment reminders by WhatsApp or email to the salon’s customers on the salon’s behalf (processing on behalf of the controller).
To meet legal obligations such as keeping invoices and complying with tax rules (legal obligation).
To protect the platform against unauthorised access and fraud (legitimate interest).
To send marketing communications only if you have expressly agreed; you can withdraw at any time (consent).
5. Google user data
The data we receive when you sign in with Google (name, email and identifier) is used only to create your account and identify you when you sign in. It is not sold, not used for advertising and not shared with third parties, except where required by law.
Petuica’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
You can disconnect Petuica from your Google account at any time at myaccount.google.com/permissions.
6. Who we share it with
We do not sell personal data. It is only shared with the providers we need to run the service, under data processing agreements with appropriate safeguards:
- Hosting and email: our server provider and IONOS.
- Stripe: card payments for deposits (each salon is paid into its own Stripe account) and Petuica subscription billing.
- Twilio and Meta (WhatsApp Business): appointment reminders.
- Google: sign in with Google.
- Cloudflare: content delivery and attack protection.
Some of these providers may process data outside the European Economic Area or the UK; where they do, it is covered by the European Commission’s standard contractual clauses (and the UK addendum) or the EU-US Data Privacy Framework.
7. How long we keep it
For as long as the account is active. When an account is closed, its data is deleted or anonymised, except what the law requires us to keep: invoices, for the statutory tax period (for example, 6 years in the UK). Security logs are kept for up to 12 months.
When a salon deletes a customer, their data is anonymised and only issued invoices are kept, as these cannot be altered by law.
8. Your rights
You can ask to access, correct, delete, restrict or port your data, object to its processing and withdraw your consent by writing to [email protected]. We will reply within one month.
If you are not happy with how we handled your request, you can complain to your data protection authority: the Information Commissioner’s Office in the UK (ico.org.uk) or the Spanish Data Protection Agency (aepd.es).
9. Security
Connections are encrypted (HTTPS), passwords are stored hashed, each salon can only see its own data and invoices are chained with a fingerprint so they cannot be altered. We limit sign-in attempts and log suspicious access.
10. Cookies
The app only uses strictly necessary cookies: a session cookie to keep you signed in and a temporary one during Google sign-in. On the payment form, Stripe may set its own cookies to prevent fraud. We do not use advertising or tracking cookies.
11. Children
Petuica is a business service and is not intended for anyone under 16.
12. Changes
If we change this policy we will let you know in the app or by email before the change takes effect. The date of the last update is shown at the top.
